Parliamentary Committees Privacy Notice

Who are we? 

The Parliamentary Committees Office provides advice, research, analysis, and services to support the work of parliamentary committees of the Legislative Assembly of British Columbia. We are committed to protecting the personal information of individuals who participate in this work. 

What does this notice cover?

This notice applies to the personal information we collect to support the work of parliamentary committees, such as public consultations. “Personal information” is recorded information about an identifiable individual and includes information that is reasonably capable of identifying you on its own or when combined with information from other sources.  

How do we collect your personal information? 

We collect your personal information when you participate in the work of a parliamentary committee. This includes but is not limited to: 

  • Making a submission to a parliamentary committee 
  • Expressing interest in appearing before a parliamentary committee 
  • Registering to appear before a parliamentary committee 
  • Responding to surveys for a parliamentary committee

What types of personal information do we collect and why?

We collect the minimum amount of personal information required for administrative purposes. This may include but is not limited to:   

  • Name 
  • Community 
  • Personal contact information, such as email address and phone number 

If you are representing an organization, we may also collect: 

  • Organization name 
  • Job title 

We may also collect additional personal information such as demographic data to analyze and review information submitted to inform the work of a parliamentary committee. 

How might we use your personal information? 

Where you provide us with personal information, it will only be used for the following purposes:  

  • Communicating with you  
  • Verifying your identity 
  • Administering public consultations 

If you appear before a parliamentary committee or make a submission, your name and input may be included in the committee’s documents, such as meeting agendas, meeting minutes, and the committee’s report. If you represent an organization, the organization’s name and your job title may also be noted. Your community and personal contact information will not be publicly disclosed. 

Your input 

Any input you provide to a parliamentary committee—whether through a submission or by appearing before the committee—may be made public. Audio recordings, meeting transcripts, and submissions are posted on the committee’s website. When providing input, please limit the personal information you include about yourself and others to only what is necessary. If submissions contain personal contact information or details about a third party, our office will make every effort to redact these before posting publicly. However, an unredacted copy will be provided to committee members and kept on file to maintain a proper record. 

Correction of your personal information 

If you wish to have any of your personal information corrected, please contact our office to request a change. However, we are not able to alter the content of submissions, which become Parliamentary documents.
